Title: Senior Accountant
Reports to: Finance Director
Works Closely With: Department Managers and other staff

Description of Organization:

The Energy Coordinating Agency is a non-profit corporation whose mission is to save energy and work with others toward a sustainable and equitable energy future for the Philadelphia region.

ECA works to accomplish its mission by:
• Coordinating all low-income energy services. ECA and its network of 15 Neighborhood Energy Centers provide over 50,000 energy services to more than 20,000 low-income households every year.
• Administering high quality energy conservation, heating system repair and energy education services for customers of all income levels across the region.
• Conducting research, evaluation and planning to maximize the effectiveness of existing resources.
• Advocating to insure adequate resources are made available to effectively address the energy needs of low-income residents.

Description of Position:

The position requires:
• Analyzes contracts/grants on a monthly basis and compares to budget/plan
• Prepares monthly billing for major contracts/grants
• Prepares and enters journal entries into Quickbooks
• Prepares monthly payroll and expense allocation spreadsheets
• Analyzes and reconciles general ledger accounts
• Prepares bank reconciliations
• Maintains fixed asset sub-ledger
• Assists with preparation of monthly financial statements (statement of financial position, statement of activity, cash flow)
• Reviews departmental activity and trend reports
• Assists with annual budget process and updates/maintains budget information in Quickbooks
• Assists with annual audit schedules and reports
• Assists with report preparation for external requests

Qualifications:

The ideal candidate will have a degree in accounting and a minimum of five years of accounting experience. It is preferred that the candidate has a background in fund accounting and have working knowledge of non-profit accounting, and government contracts and auditing requirements. The successful candidate must also be a good communicator and a team player.

Compensation:

Title:             Director of Heating Services

Reports to:  Executive Director

 

The Director of Heating Services oversees all of the managerial, personnel, budgeting and contractual duties related to ECA’s Heater Hotline and other heating service contracts. Responsibilities involve oversight of all office and field operations. 

 Duties:

 Program and Personnel

  • Oversee office operations including intake, data collection, purchasing, program outreach, client relations, liaison with referral agencies
  • Oversee all field operations including job scheduling, allocation of personnel and equipment to jobs, and quality control
  • Oversee staff supervision, training, hiring and firing
  • Monitor all contractual obligations including contract renewals and periodic reporting to funding agencies
  • Prepare proposals and work plans for funding agencies such as PHDC, DCED and PGW.
  • Develop work orders for mechanics who perform heating work
  • Solicit subcontractors for CRISIS and other heater work using a request for proposal (RFP) or similar system
  • Oversee a procurement process to purchase materials and equipment from suppliers and vendors
  • Serve as in house liaison with Smart Energy Solutions; survey fee for service jobs and prepare estimate; supervise field work on fee for service jobs
  • Monitor training needs and insure that mechanics are trained to become competent in new and existing technology
  • Provide training to in-house and external staff as required

 

Reporting

  • Prepare monthly management report detailing costs, jobs completed and revenue generated in various programs
  • Attend management meetings and work conferences as required
  • Responsible for submission of all required reports to funding agencies

Budget and Invoicing

  • Prepare annual budget for Heating Department based on current and expected contracts and fee for service activity
  • Oversee purchasing of all field supplies, equipment and vehicles
  • Invoice funding agencies and other clients/customers in a timely manner and maintain records

Qualifications:

  • B.A. degree or equivalent and at least four years professional or managerial work experience; 10 years of relevant experience in heating technology including field work and business management; previous

business experience a plus

  • Excellent organizational, business management, communication and time management skills
  • Able to handle multiple work assignments and process reports in a timely manner
  • Able to work well with a diverse staff of office and field personnel
  • Proficient in Windows, MS Office, Excel
  • Familiar with database applications and MS Access
  • Current City of Philadelphia Warm Air License preferred
  • BPI and/or NATE certifications a plus
